A few summers ago, a couple stood under our old oak at the top of the vineyard, ten minutes from “I do,” and the bride realized her ceremony musician hadn’t arrived. The groom’s mom had a phone in one hand and a glass of our Petite Sirah in the other, trying to call the violinist. Someone’s cousin was sprinting up the gravel path looking for the officiant. The “day-of” coordinator they’d hired had shown up that morning at 9 a.m. — the first time she’d ever set foot on the property — and was doing her best, but she was learning the ropes in real time.

It worked out. Weddings here almost always do. But it worked out because our staff and the family pitched in, not because the plan held.

The conversation with the caterer about whether the salad goes out before or after the toasts.

Most “day-of” coordinators know this, which is why almost all of them quietly become month-of coordinators in practice. They start calling vendors three or four weeks out. They build the timeline. They do a walk-through. They’re already deep into your wedding before they ever clip on a headset.

So if you’re paying for “day-of,” you’re often paying for a service that’s stretched too thin to do the actual job — or you’re getting a real month-of in disguise. Better to just hire month-of from the start.

Why this matters more at a vineyard

They’re the one who walks the florist to the right arbor before the photographer arrives. They’re the one who tells your DJ where to position the speakers so the vows aren’t competing with the breeze.

The good ones, the kind Michelle and her guests describe, do something like this: about four weeks before your wedding, they take everything you’ve assembled — the vendor contracts, the seating chart you’ve been agonizing over, the family Spotify playlist, the Pinterest boards — and they translate it into a real, minute-by-minute timeline. They reach out to every vendor and confirm arrival windows, load-in instructions, payment status, and special requests.

They walk the venue. At Naggiar, that means standing on the ceremony lawn, then the tasting room, then the reception space, and asking the questions you didn’t know to ask. Where does the cake go before it’s cut? Where do the flower girls wait during cocktail hour? What happens if it rains?

Then on the day, they’re there. Not arriving at 9 a.m. and leaving at 10 p.m. — really there. Setting up, troubleshooting, redirecting, calming, anticipating. When something goes sideways (and something always goes a little sideways at every wedding), they handle it before you ever know it happened.

A few practical questions to ask any coordinator

How many weddings have you worked at this venue? Familiarity matters. If it’s their first time at Naggiar, that’s fine — but they should be planning to do a thorough walk-through.

How many weeks before the wedding do you start? If the answer is “the day of” or “a week before,” keep looking.

Can you give me a sample timeline from a recent wedding? You’re looking for someone who thinks in minutes, not hours.

Who’s your second? Coordinators get sick. They have car trouble. The good ones have a backup plan and tell you who that is up front.

How do you handle a vendor no-show? You want a calm, specific answer. Not panic. Not vague reassurance.

Worth every penny

Month-of coordination usually runs somewhere between $1,800 and $4,000 in our region, depending on experience and what’s included. We know that’s a real number.
